We are seeking a skilled Executive Assistant to provide high-level support to our client’s executive team. The successful candidate will work closely with the executive management team and act as their first point of contact to ensure appointments and timelines are negotiated and confirmed, communications are effectively managed, and effective operations of the greater office are coordinated, amongst other responsibilities.

Start: March 2023

Hours: 8am – 4pm (38 hours per week)

Salary range: $70,000 – $80,000

The Role

Some of the key responsibilities of this role include:

  • Manage professional and personal scheduling for the executive team, including agendas, mail, email, phone calls, client management, and other company logistics.
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals.
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database.
  • Maintain professionalism and strict confidentiality with all materials.
  • Organise team communications and plan events, both internal and off-site.
  • Experience Required

  • Strong relationship building and stakeholder engagement skills across all levels of the organisation.
  • Excellent verbal and written communication skills.
  • Ability to multi-task, adapt to changing priorities and manage workload effectively.
  • Intermediate level MS Office skills – Word, Excel, PowerPoint.
  • High level of personal integrity with the ability to handle sensitive and confidential information.
  • Strong attention to detail.
  • Ability to work in a highly professional manner.
  • Ability to work autonomously as well as working collaboratively.
