About the role:
In this role you will provide professional secretarial services to the Senior Leadership Team or Senior Leadership individual.
The role will be dynamic in administration, report preparation, meeting, and calendar coordination, organising travel and accommodation as required.
Other responsibilities include:
- Provide high level administrative and secretariat support to the Senior Leadership Team
- Manage the diary and arrange meetings of the Senior Leadership Team
- Assist Senior Leadership Team to organise the workflow and follow up actions delegated by the Board
- Fulfil the role of high-level personal assistant including: the preparation of research papers, reports, policy documents and proposals for consideration as required; attending to diary and meeting management; email management as agreed; report writing and collation of information.
- Provide support to and ensure all documentation is presented in a manner supporting and enhancing the professional image of the CDC.
- Prepare presentations and assist with marketing and communications.
- Assist the Senior Leadership Team with the coordination of meetings and functions, along with the responsibility of attendance as required at relevant committee meetings
- Assuming responsibility for agenda and business papers, attendance and recording of minutes in a professional, accurate, confidential, and timely manner.
- To make travel and accommodation reservations as required and keep accurate records for reconciliation with travel and accommodation accounts.
- Prepare and organise customer events & functions.
- Develop and maintain effective networks with internal stakeholders, contractors, and industry colleagues.
- Advise the senior leadership team of matters requiring personal attention, with associated deadlines, and preparing relevant documentation.
About you:
- Minimum 2 to 5 years’ experience in an Executive Assistant role
- Exceptional corporate presentation and excellent people skills.
- Strong interpersonal, communication and negotiation skills.
- Ability to work autonomously, employ initiative to find solutions, prioritise and exercise discretion.
- Excellent organisational and administration skills.
- Experience in scheduling meetings, appointments, and meeting room bookings.
- Display confidence when dealing with others, along with well-developed written and verbal communication skills.
- Set priorities, plan workload, meet deadlines and achieve objectives through the efficient use of time.
- Confidently use a computer along with the ability to use Microsoft Office programs, including Word and Excel.
Essential:
- Australian citizenship and ability to obtain, an NV1 Security Clearance
