Our Opportunity We are looking for a dynamic and collaborative Executive Assistant (EA) who takes initiative to support the First Assistant Secretary (FAS) and the Employment Conditions Division Executive Team. The EA will work collaboratively with the Executive Officer, supporting the senior executive in the division across all aspects of the role and daily duties, ensuring that they are briefed, prepared and able to meet all of their obligations and commitments. The EA provides high level administrative support, including liaison with senior internal and external stakeholders and line areas across the Industrial Relations Group. Duties are carried out under limited direction and include prioritising diary requests and managing all aspects of the administration of the office of the Senior Executive. This role requires initiative and the ability to make administrative decisions on behalf of the division. This role also involves providing support, guidance and assistance to the three branches within the division. Who are we looking for? Under limited direction, the APS 5 Executive Assistant undertakes a wide variety of activities related to executive support, including: managing the office of the Senior Executive, including the effective management of information flow providing high level secretarial support including preparation of routine correspondence, screening telephone calls (and directing queries to relevant officers), photocopying/scanning and filing managing diary, travel and meeting preparations including organising venues, catering and preparation of material and minute taking as required assisting with the division’s financial management including processing of accounts payable, management of corporate credit card accounts, management of cab-charge register/vouchers and quality assurance and approval of travel in SAP maintaining oversight of the division’s incoming correspondence via the Parliamentary Document Management System (PDMS) and assigning to line areas communicating and liaising with staff at all levels within the agency as well as internal and external stakeholders other duties as specified by the SES.
