Our Real Estate Team Our Real Estate Team is headed by a Partner and has approximately and eight legal staff who work together on servicing a number of long standing clients. In this role you deal with a high volume of administrative tasks for a number of Commonwealth Government and private clients, such as the Services Australia property and pension loan scheme. This parcel includes approximately 275 matters nationally in its property portfolio and over a hundred pension loan scheme matters at any one time. Your role A fantastic opportunity now exists for a Fixed Term Contract for an Executive Assistant with 3+ years’ experience and a desire to provide a high level of administrative support to join our busy and successful team. In this position you will work closely with and provide a full range of support to fee earners. We are looking for a flexible team player, who can work autonomously but also enjoys contributing to the team as a whole. As a key addition to this team, your responsibilities will include: Drafting correspondence, document preparation (including the use of precedents), presentations and amendments as required Due diligence and document registration and compliance Arranging general and trust account receipting and cheques Coordinate meetings and making necessary travel arrangements High level diary management of multiple lawyers involving discretion in determining and prioritising commitments Answering calls and monitoring emails High volume file management including opening and closing files, electronic filing and scanning Assisting in maintaining client databases Conducting billing, including end of month billing and reporting with specific client requirements Reconciliation of corporate AMEX expenses General administrative tasks such as filing, photocopying, searches, formatting etc Ad hoc duties as required What you need To be successful in this role, you will need strong organisational skills as well as a high level of initiative, energy and enthusiasm and the ability to follow through. Ideally, you will also have 3+ years legal experience, working in a fast paced and ever changing environment. In addition to this, you will possess the following attributes: Self-motivated and an ability to work autonomously with minimal direction Flexibility and the ability to work under pressure and manage conflicting priorities Exceptional organisational skills and ability to multi-task, prioritise and delegate A high level of accuracy and attention to detail A strong client focus and demonstrated ability to form enduring relationships with team members, clients (both internal and external) and industry experts Advanced Microsoft application knowledge A solid understanding of billing and financial systems and other software applications (Elite desirable) A proactive approach and demonstrated initiative What we offer MinterEllison people are caring, high-achieving and supportive of each other both at work and outside of it.
