Our Business Services team The Business Services group provides a broad range of administrative services to the firm. A fantastic opportunity exists in the Business Services group for an experienced Business Services Assistant on a 12 month contract. This is a ‘hands on’ and highly diverse role that provides invaluable support to ensure the group meets its objectives. This role involves a variety of responsibilities associated with the day-to-day operation of the firm. Some of these tasks include search and lodgement, mail, couriers, document production, ordering of stationery, fleet management, purchasing, invoicing, recoveries, reception relief, office moves, minor maintenance, WHS, archiving, the setup of audio visual equipment for client meetings and being the first face our clients see. This is an excellent role for someone who is looking to gain experience in a corporate environment. Duties and Responsibilities: Ensure the timely and accurate sorting, recording, delivery, collection and distribution of mail, faxes, incoming courier and other items Receive, enter and book all outgoing faxes, mail, express post, and couriers for central business district, suburban, intrastate, interstate and international Perform or arrange for internal deliveries and collections including the transport of documents, briefs and equipment Responsible for the stocktake and purchase of all stationary consumables Ensure the timely and accurate processing of all office related invoices Maintain an up to date knowledge of geographic destinations and preferred courier service providers and provide advice on the best method to achieve delivery requirements Carry out all printing, photocopying, scanning and finishing (e.g. binding, laminating etc.) of all documents sent to the print room Entry and administration of the Billback system when required (entering data, basic reporting, special rates and enquires) Assist in maintaining print room equipment and, faxes & binding equipment in utility rooms File, lodge or search at courts, tribunals and government departments documentation and records and complete on-line searches, as required Keep accurate records of all work, daily, including any Firm cheque accounts Ensure staff are kept up-to-date with any procedural and pricing changes and provide training to new legal staff on search & lodgement processes and procedures Responsible for ensuring all contractors entering the premises are on legitimate business Develop strong productive working relationships with team members and stakeholders across the firm Collaborate with team members and maintain a positive team environment Identify opportunities to improve processes and practices to enhance the service offering and escalate to Team Leader Assist with projects as required Keep up to date with developments across the firm and maintain skills and knowledge Follow work, health and safety procedures and ensure complying with safe work practices Other ad hoc duties as required What you need We welcome applications from people with: At least 12 months experience in a back-office administration role covering mail, print room and facilities management is essential experience in a customer services role would be an advantage exceptional interpersonal and communication skills, including the ability to liaise with people at all levels ability to work in a highly collaborative team environment a strong, proactive client service focus an ability and willingness to undertake physically taxing and mobile work a high level of initiative a high degree of technical skills with a sound knowledge of Word & Excel ability to prioritise a variety of tasks and responsibilities a high level of attention to detail and accuracy resilience and a commitment to excellence that matches our own the ability to work with minimal direction You will also require a current Australian drivers’ licence Desirable certifications: First Aid Certification Fire Warden Certification Who We Are Diversity is one of the five elements that underpin our firm’s purpose and informs the way we work internally and with our clients.
