Infrastructure Assistant – Fleet

Job Description

We are looking for someone with fleet experience to help run a fleet of 300 transport, pool and packaged vehicles. At their disposal is a modern GPS managed fleet, shifting to HV and EV. The fleet is managed using a Fleet Management and Poolcar Booking System. The role reports into the Finance team.

The key objective of the position is to provide accurate, effective and timely administrative support to the Infrastructure team and the wider organisation, with a focus on Fleet administration.

This role is part time for 22.8 hours per week.

Skills and experience include but are not limited to: 

  • Knowledge of Pool Car system or Fleet
  • Excellent verbal and written communication skills
  • Excellent customer service skills to manage stakeholders effectively
  • Self-motivated and able to work with limited supervision within a team environment
  • Knowledge of organisational policies and practices
  • Excellent degree of judgement, initiative, and confidentiality
  • Demonstrated analytical and problem solving skills.
  • Excellent attention to detail and an ability to manage work priorities
  • Confident to work with a wide range of internal customers and external suppliers
  • Tasks that may be required within the role:

  • Processing invoices for payment received within the Fleet Admin email inbox.
  • Communicate promptly and confidently to other Northcott sites and external suppliers
  • General Administration duties as requested by the Manager – Fleet Services
  • Work collaboratively and communicate effectively with all other Northcott services and departments.
  • Other duties as requested by the CFO, Manager Fleet Manager
  • Oversee Helpdesk Tickets and respond to the tickets.
  • Attend and participate in team meetings.
  • Undertake training as required
  • Responsible for ordering and maintaining general office supplies for Parramatta office including cleaning products, stationery and kitchen supplies
  • Process stationery requests for Parramatta office and ensuring best value is achieved, working with the Customer & Vendor Relationship Officer when necessary
