The ARC Centre of Excellence for Quantum Computation and Communication Technology (CQC2T) is headquartered at UNSW and, being the lead institution, funds and administers seven research nodes at the University of Melbourne, Australian National University (ANU), University of Queensland, Griffith University, RMIT, University of Technology Sydney and UNSW Canberra.

The Finance and Administration Officer is responsible for providing effective and efficient financial project management support and administrative and office management services to the UNSW node of CQC2T and supports the COO to coordinate whole of Centre projects.

About the role

  • $91k – $97k plus 17% Superannuation and annual leave loading
  • Fixed Term – 2 years
  • Full-time (35 hours per week)

The role works closely with the Finance Manager, reports to the Chief Operating Officer of CQC2T and has no direct reports.

Specific responsibilities for this role include:

  • Interpret, apply and advise on UNSW and faculty policies, procedures, guidelines, processes and implement best-practice business processes and training and support of Centre staff to ensure compliance.
  • Liaise with relevant UNSW business units (HR and GRS for salaries and scholarships), Science Faculty and School finance teams, and Buying Network, Accounts Payable and Accounts Receivable teams to source accurate information and resolve tasks.
  • Utilise NSS Financial and HR modules to provide financial data and information and develop spreadsheets for the compilation of the financial statements and reports, ensuring all records are accurate and comply with UNSW policies, procedures and guidelines.
  • Prepare financial expenditure statements and reports, monitoring, analysing, investigating and advising relevant UNSW program managers regarding inconsistencies, budget variances (period and year-to-date), allocation of expenses, advice on UNSW policy and corrective action as required.
  • Manage purchase orders, raise invoices, reconcile financial transactions, manage Centre credit cards, register assets and track relevant financial information.
  • Provide guidance on UNSW preferred suppliers, ensuring compliance with the UNSW procurement policy and procedures, establishing new suppliers where required.
  • Ownership of office management tasks such as ordering of office supplies, organising shipments for Centre staff and students, parcel collection and distribution.
  • Assist COO where required with coordination and management of Centre events such as workshops, conferences, seminars, Committee meetings and other events/activities as may arise as directed by the COO.
  • Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others.

To be successful in this role you will have:

  • Relevant degree with subsequent relevant experience or equivalent competence gained through another combination of education, training and experience.
  • Demonstrated project management experience delivering projects within agreed timeframes and budget.
  • Excellent organisational skills to drive new initiatives and efficient work practices.
  • Excellent interpersonal and written and verbal communication skills including ability to communicate with and influence diverse internal and external stakeholders.
  • Exceptional time management, office management and organisational skills, ability to work well under pressure and manage multiple tasks with competing deadlines   
  • Demonstrated initiative, sound analytical and problem-solving skills and proven experience in business improvement activities.
  • Experience working on confidential and sensitive matters and demonstrated ability to exercise discretion and tact as required.
  • Demonstrated strong computer skills, in particular the Microsoft Office suite, with an interest in continuous learning of newer technologies as they become relevant to the role.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training
