Bid & Contract Manager

We are currently seeking an experienced Bid/Tender Manager To facilitate growth for the Industrial and Energy line of business across current and new markets. The Bid Manager is responsible for ensuring the management of the tendering process are compliant with our clients policies for all opportunities. The ideal candidate will be able to successfully coordinate the development of collateral and marketing material to assist in retention and new business bids while supporting management with strategic planning, market analysis and projects. The position will Oversee the bid management process for opportunities ranging between $500k to $20m per annum and encompass some of the company’s largest clients.

  • $150,000 plus Super
  • Southbank Victoria Location
  • Dedicated to our Industrial & Energy division
  • You would work closely with the marketing team. Exposure with marketing would be a bonus
  • The role is full time office based. Interstate travel monthly

Essential / Desired Qualifications

  • 3+ year’s experience in Bid Management and/or Tendering
  • Current Driver’s License
  • A background in heavy industry, engineering, construction is highly desirable,

Reporting to the regional manager, The BID manager will be responsible for

  • Tendering
  • Strategy and development
  • Document and financial reporting
  • Administration
  • Other Duties as specified in the PD

Tendering

  • Plan, prepare and submit tenders in line with policies and procedures and relevant DOA, risk management process and that are compliant to a statement of requirements
  • Manage internal resources to ensure the successful submission of tenders
  • Oversee approval process through pre contract gates, liaising closely with Management to ensure bids align with strategic imperatives on commercial objectives and outcomes
  • Assess tender opportunities from a commercial perspective – ensuring scope, schedule, price, client, etc. are considered
  • Drive the end-to-end bid / proposal documentation process including understanding the RFP, preparing Q&A, solution development, presenting at interim and final meetings, finalising proposal and bids
  • Facilitate the connection between the estimate, commercial and the solution, ensuring that where risk mitigation’s include operational controls, these are incorporated into the solution and submitted documents
  • Work collaboratively with the Bid Writer, operational and support SMEs to ensure responses clearly articulate the clients value proposition.
  • Primary point of contact for client tender representatives
  • Ensure key milestones, governance , bid preparation and submissions are on time and within budget
  • Responsible post submission for managing any clarifications and generate post submission presentations
  • Work closely with the opportunity owner and key team members to support contract negotiations and ensure the handover of all relevant cost and solution information to the incoming operations team..

Strategy and Development

  • Work with the senior I&E Leadership team to provide advice regarding our growth strategy. This will include a National Approach to growth in project and on site services (OSS)
  • Provide advice on market trends
  • Identify, develop and implement new initiatives to improve tendering performance
  • Seek out and assess the suitability of business development opportunities aligned to business objectives
  • Support management with the preparation of business plans

Reporting

  • Implement and perform reporting (incl. status of tenders and contractual issues) to management
  • Oversee pipeline management – incl. documenting, tracking, and reporting on opportunities
  • Be the systems lead for the Sales and BD platform

Administration

  • Single point of accountability for Salesforce with accurate, up to date information on leads, opportunities and tenders
  • Ensure that all administrative requirements are addressed in a timely and accurate manner and in line with policy and procedure

Other

  • Engage with operational sites and teams to understand the market from the ground up
  • Work closely with the senior leadership team to develop and grow the National business
