About the role
We are seeking a values-driven Receptionist to effectively manage the reception area of The Salvation Army Phillip Street Community and Families Precinct with a focus on excellent service delivery. This includes welcoming visitors who attend the Precinct and monitoring people entering and exiting the building. Providing assistance to visitors seeking support, including people in distress and refer to appropriate persons or services where necessary. Facilitating the smooth running of the building for tenants, while providing referral pathways to support achieve TSAs Mission, Vision and Values.
You will successfully
- Provide high level customer service assistance to visitors and tenants as the first point of contact, referring to relevant internal services, or external partners as required
- Manage reception and general administration duties including: answering calls; general correspondence, attend to mail and correspondence, photocopying, filing, maintenance and reviewing the shared email account
- Assist Line Manager with finance tasks such as preparing cash payment summaries, banking reports and bank statements; generate and process invoices; receipting donations; banking; reconciliations; payment of accounts.
- Assist community members with support through The Salvation Army Connect Office and ensure foodbank supplies are stocked and maintained
- Ensure the day to day functions of the building are met including security, access, deliveries, lunchroom set-up; and ensuring adequate supplies in staff areas, public spaces and toilets etc.
- Assist with emergency procedures in accordance with TSA processes and training.
- Coordinate the hiring of room facilities, ensuring booking calendar is maintained; all insurance policies, hire agreements etc are in order.
- Coordinate the set up for events and meetings, including room arrangements; digital noticeboards and morning tea etc.
- Assist Line Manager with inbox monitoring and scheduling business appointments as needed
- Communicate effectively with Management on site and at the Gladstone Corps, exercising discretion, judgement and maintaining confidentiality
- Liaise with TSA’s Community Fundraising and Brand/Marketing Teams to support creation of new resources and ensuring displayed collateral is updated as needed
- Report hazards, near misses and incidents to Line Manager as soon as practicable and in line with TSA policies and procedures
- Other duties as relevant to the role, as required by Line Manager
This is a full-time, permanent position located in Gladstone, QLD. Salary and conditions are in accordance with the SCHADS Level 2.1 award.
You will have
- At least 2+ years prior experience in a similar reception or co-ordination role
- Effective Computer skills using Office 365, SharePoint and OneDrive.
- Certificate 3 in Business Administration would be an advantage
- A national police record check is required
- A Working with Children Check is Required (QLD Blue Card)
- First Aid Certificate (or willingness to obtain one)
