About Our Client
This role will provide seamless administrative support to a diverse Executive team whilst ensuring the smooth running of the office.
Job Description
Key resposibilities:
- Providing support to the Executive tesm including diary and file management, administration of expenses, planning of functions and events and updating internal databases.
- Drafting and finalising letters, memos, reports and
- Coordination of executive reports (quarterly reports & board reports)
- Facilitate internal communications
- Act as the initial point of contact for external stakeholders as required
- Management of Perth office, including liaising with building management and external suppliers
- Organising Perth office functions and event
- Coordinating the employee recognition of service programme globally
- Management & coordination of all travel administration and corporate account travel for Australia
- Managing international travel for other regions as required
- Assist with HR related functions such as administration of various incentive schemes, recruitment of new staff for Perth office, entry of information into the HR system
- Assist Company Secretary with maintenance of corporate files, including preparation and lodgement of relevant information with ASIC
- Assist with other governance issues as needed (ie changes to director requirements, implementation of policies etc)
- Maintain register of current legal issues
The Successful Applicant
The preferred candidate will demonstrate the below key skills and competencies:
- Excellent communication skills
- Attentive, organised and professionally presented
- Demonstrated ability to independently and proficiently screen calls, manage calendars and files, and arrange meetings, travel and events
- Strong teamwork approach with an ability to work in a high-pressure and fast-paced environment
- Operate efficiently, despite a high volume of work
- Willingness to assist other staff in the office with an open and positive manner
- Positive “can do” attitude
- Previous experience in a similar role supporting a number of executives
- Previous experience as an Office Manager
- High degree of competency in Microsoft Office products
