Job Description
A rare opportunity has presented in our Brisbane office for a high calibre Executive Assistant – who will not only support our high-performing Executives but also manage a high-performing administrative team across Brisbane, Gold Coast, Sunshine Coast and Toowoomba.
You’ll provide support to direct reports ensuring they meet all admin requirements and are operating with consistency across the Group. You will have a passion for setting goals and coaching individuals to meet the expectations of the role – also development goals and company culture. You will be someone who not only proactively listens to and anticipates needs, but also can manage competing priorities and think on your feet – ensuring our Executives’ days are effortless. A total gun!
You’ll receive a high level of support to help you achieve success in this role.
Tasks and requirements of the role include (but are not limited to):
- Management of the Executive Assistant and Office Administrative team (and backup support for priority tasks when required – it’s second nature for you to pitch in and do what needs to be done)
- Supporting Executives to ensure their days run smoothly (complex time/diary management, email management, assisting with general communication to stakeholders, scheduling of meetings and meeting preparation, management of travel bookings, minute/note taking and actioning of items)
- Collaborate with Marketing and provide Events support/oversight of, as required
- Facilities & Supplier Management
- Travel management
- Fleet management
- Adhoc assistance to significant projects/project management
- Some travel! Whilst the role is based in Brisbane there will at times be the requirement to travel to some of our regions/sites.
About you:
As the successful candidate you will have:
- Experience leading and managing people
- Proven experience in a similar role/supporting multiple Executives
- The ability to maintain confidentiality
- A flexible, collaborative and solutions focused attitude (we are a fun and energetic team who enjoy a laugh and help each other out!)
- Strategic thinking and complex problem-solving skills
- Superior time management and organisation skills
- High proficiency in Outlook and Intermediate to Advanced use of the Microsoft Office suite (particularly Word, Excel and PowerPoint)
- The ability to work autonomously and demonstrate a high level of initiative
- Excellent written and verbal communication skills coupled with an ability to build effective relationships both internally and externally
- A diligent approach to the company’s best practice principles and regulatory requirements.
