About the Organisation
A fantastic opportunity to join the Strategic Engagement Branch of a government department supporting engagement programs across Australia and around the world. This role would suit someone with strong administrative or secretariat skills, and someone with business support/EA or event management background. This will be a 5 years contract. An S transfer is also available.

Duties
The Program Assistant is a rewarding role that requires highly developed administrative skills, critical attention to detail and the ability to remain focused in a fast-moving environment. The duties of the successful applicant will include:

  • Co-ordinating the receipt, acknowledgment and consideration of invitations extended to Senior executives by individuals, organisations, schools and other entities.
  • Assisting in monitoring and updating forward program of internal and external engagements, including maintaining an electronic diary system, preparing weekly, quarterly and annual calendars, and compiling basic reporting and briefing materials.
  • Database Management.
  • Providing monthly secretariat support to Planning Committee (including collating meeting papers and briefing materials, and distributing outcomes).
  • Providing advice and assistance (including guidance on protocol, dress and other considerations) to guests and other stakeholders attending events and engagements at the department.
  • Working as part of a small team to support event preparation – including co-ordinating the production of invitations and other materials – and guest management at events, functions and events.
  • Due to the nature of the official program, the successful applicant may have the opportunity to travel with the team outside of standard business hours.
  • Selection Criteria

  • Experience in providing high level administrative support such as diary management, scheduling, secretariat support and the co-ordination of incoming and outgoing correspondence.
  • Proficiency with Microsoft Office (in particular Word, Excel and Outlook) and Adobe Acrobat, and fluency working with proprietary applications (for example, events, invitations and records management systems).
  • Excellent spoken, written and interpersonal communication skills, including strong attention to detail and the ability to quickly build rapport with people from diverse backgrounds.
  • Demonstrated skills in time management and organisation, including the ability to work with minimal supervision and manage competing priorities and deadlines.
  • Desirable Qualifications / Experience
    Tertiary qualifications in a relevant field, and/or experience in administration, executive assistance, business support and customer facing roles are highly desirable.

    Eligibility
    To be eligible for employment, applicants must be Australian Citizens.
    This position requires Baseline security clearance. The successful applicant will be required to obtain and maintain a police check and clearance at this level.
