The organisation
This government department is looking for a high performing APS4 Executive Assistant for an initial 6-12 month Non-ongoing. This opportunity is for a well seasoned APS4 Executive Assistant who is looking to move up to the next level or experience a new environment. You will work collaboratively with the divisional Executive Support team, supporting the COO across all aspects of their role, ensuring that they are briefed, prepared and able to meet their obligations and commitments. In addition, you will provide high level administrative support, including liaison with senior internal and external stakeholders and line areas across the department. Duties carried out are under limited direction and include prioritising diary requests and managing all aspects in the administration of the office for one COO.
The role
As the APS4 Executive Assistant, you will:
- Perform ‘front of office’ support functions for each Team within the Chief Corporate Office (CCO), greet visitors, receive, and respond to phone calls, emails, and general correspondence
- Schedule appointments and meetings and coordinate travel arrangements.
- Prepare responses to routine and less complex enquiries. Assist with coordinating Executive Leadership Group (ELG) meetings and workflows; collate and follow up on information to ensure deadlines are met
- Provide high quality administrative assistance in collating papers for meetings attended by the Senior Executive that you will assist
- Conduct secretariat support, record all meetings, to various CCO lead meetings
- Liaise and collaborate with the Executive Assistants group across the agency as well as various stakeholders of all levels
- Coordinate and reconcile Senior Executive finances
- Assist the CCO group as required
- Coordinate procurement, contracts, and process invoices for payment.
Skills & Experience
The successful applicant will be an experienced APS4/5 Executive Assistant who has:
- A current Baseline security clearance
- Clear and strong communication skills with strong interpersonal skills and be able to produce relevant timely correspondence in a clear understandable language.
- Proven experience working within a position that requires a high level of discretion.
