About the Early Childhood Outcomes Division
The Early Childhood Outcomes Division leads the delivery of the Early Years Commitment program, including comprehensive investments in the critical first 5 years of life for every child – in child development and in early education and care, making investments that support families and the community now, as well as investing in long term reforms for the future. Key initiatives will include supporting families with young children to access the services they need to support their own prosperity and wellbeing; valuing and growing the early childhood education and care sector and investing in early childhood teachers and educators.

About the Role:
The Executive Assistant is to provide high-quality, efficient, and professional administrative, clerical, and secretarial service to the Director and team within the Early Childhood Outcomes division.
Key functions of the role will include but are not limited to:
• assist with diary management, meeting and event coordination, daily routine correspondence and overall support to the team to ensure the seamless operation of the unit
• act as the first point of contact for the Director and team
• develop and maintain efficient office systems and procedures and ensure high professional standards
• maintain records and databases by ensuring information is current and updated
• action and respond to queries with strict timeframes in a timely manner
• support the team by coordinating correspondence and documentation including submissions, briefing notes, minute taking and general administrative duties
• provide administrative support for projects
• responsible for providing high level secretariat support for committees and other meetings, prepares high level documentation, and supports processes including main confidential records and progressing recruitment and onboarding of staff

About You:
• demonstrate capacity to organise a high level workload and competing priorities in a professional and timely manner at an executive level
• high attention to detail with the ability to maintain accurate and detailed records
• sound skills in prioritising, time management and organisation
• proven ability to show initiative, set priorities and work within a team and independently under minimal supervision to meet deadlines
• an eager, positive attitude to work and growth
• exceptional communication skills, both verbal and written
• tech savvy skills in Microsoft Office (Word, PowerPoint and Excel)
