About the role

We are excited to present a newly created position within our dynamic Operations division.

The Victorian community relies on V/Line to deliver a safe and reliable service that connects us to work, leisure, family and friends. Our Train Services function is a critical, high-performance group with strong leadership meeting the challenges of a modern transport service.

Reporting to the Director – Train Services , the Business and Administration Team Manager will undertake a range of duties which ensure we deliver a smooth and efficient Train Services function.

In your new role, you will:

  • Manage the calendar of the Director – Train Services with sensitivity and confidentiality, coordinate travel and accommodation, and maintain office efficiency
  • Act as primary point of contact for internal and external stakeholders on the activities of the Director and provide support to other key Senior Train Services personnel, coordinate Toolbox talks / Safety seminars – sourcing information to present, creating agendas and taking minutes
  • Prepare and curate high-level reports, administer data on risk reviews and emerging conditions, coordinating risk reviews with actioning outcomes with various stakeholders
  • Oversee the day-to-day activities of two Crew Administration Officers as direct reports, providing guidance of the team and ensure systems and processes are utilised efficiently
  • Apply intermediate-advanced MS Office skills on tasks from data entry to document formatting, file management to internal communications, administration of employee compliance requirements such as medical reviews, payroll, and purchase orders including ordering uniforms

    About you

    Our ideal candidate is a strong relationship manager with exceptional interpersonal and communication skills.

    You will be adaptable to perform the range of duties required in this position, approaching each task with an equal level of commitment and attention to detail.

    Experience and attributes required include:

  • Executive level administrative and team support, ideally within a large organisation and / or a comparative operating environment
  • Confidence to work autonomously, for and with a state-based team tasked with delivering a safe and reliable service to our community, and an appreciation for the high risk setting we operate in
  • Providing supervision, mentorship and coaching to direct reports and the ability to engage effectively with V/Line staff across the organisation
  • Advanced use of MS Office, knowledge of Information Management Systems and document control
