Job Description

We’re seeking a pro-active Executive Assistant Coordinator – to support the Executive Assistant to the MD&CEO of Australia Post with providing high quality administrative and business support to the MD&CEO and the broader Australia Post leadership team.

The role reports directly to the EA to the MD&CEO and will assist in the provision of office administration and support services for a geographically and functionally diverse group of stakeholders. Where required, the Executive Assistant Coordinator may also support activities on behalf of other EAs.

About the opportunity

Responsible for providing a high level of business support, you’ll also:

  • Review all incoming e-mail communications, including customer correspondence, identify the appropriate Manager and follow through to resolution
  • Prepare confidential materials, memos and attending meetings as required, and subsequently preparing minutes for various forums/meetings
  • Manage calendars, book and manage team events, meet and greet guests
  • Maintain all administrative facilities, room bookings, catering, AV and materials are available when required
  • Prepare and distribute team communications, manage central email addresses, distribution lists and organisation data, support with reporting requirements for the executive team and board
  • Efficiently run the office, including maintain processes and manage the flow of information to members of the team, and maintain stationery supplies and office equipment
  • Support as required with organising travel for select executives in Australia Post, booking hotels, flights, cars and preparing travel agendas
  • Undertake reconciliation of BCard expenses, invoice payments and IT assets
  • Support with reporting requirements for the executive team and board. 
  • Who we are looking for

    We’re looking for someone with excellent interpersonal skills, who can effectively build work relationships. You’ll also demonstrate:

  • Significant experience in successfully and professionally managing administration functions in a complex and dynamic environment, using judgement and decision-making skills
  • Well-developed written skills, particularly in drafting correspondence and minutes and experience in dealing with confidential and sensitive information
  • An understanding of key internal and external stakeholders, including senior executives, community partners, media, government, customers and competitors
  • Ability to use networks and relationships to influence beyond your span of control
  • High degree of proficiency with standard software applications e.g. MS Outlook, MS Word, MS Excel, SharePoint, MS PowerPoint, SAP, Photoshop
  • Excellent client service attitude, with a focus on providing a positive experience while maintaining the integrity of campaign and reporting
  • Ability to create reports in written and numeric form from raw data
