The Civil Contractors Federation Tasmania (CCFTas) is looking to appoint a new Executive and Administration Officer to support the CEO to deliver on the strategic goals and objectives of the organisation. Acting as 2IC to the CEO, the role provides high-level advice and guidance in stakeholder communications and policy development.

  • Reporting to the CEO, you will provide executive administrative support, including the planning and preparation of papers, reports, and communication on behalf of the CEO.
  • You will also play a significant part in the ‘High Vis Army’ (HVA) team where you will provide operational and executive support to the project.

    As the leading voice of the civil infrastructure construction and maintenance industry in Tasmania, we represent and promote the interests of our members with local and state government and government enterprises to ensure our member’s views are heard and our industry is represented.

    About this role

    The Executive and Administration Officer will be responsible for supporting the CEO with the day to day operations of CCFTas. You will provide high-level advice and guidance in stakeholder communications and policy operations. You will have the opportunity to work closely with the CEO and build upon your strategic and leadership skills.

    Working directly with the CEO, and in collaboration with the HVA project team, and other CCFTas staff members. You will also have interaction with the Board of Directors, the National CCF body and other state CCF organisations.

    You will build relationships with our members, industry associations aligned with the High Vis Army, statutory bodies and occasionally government departments in Tasmania, including Skills Tasmania.

    Responsibilities will include:

  • Providing executive administrative support for the Chief Executive Officer, CCFTas committees and HVA project team, including secretariat support such as coordinating meetings, agendas and collating papers and supporting documents for meetings.
  • Supporting the HVA project team to meet critical path dates listed within the Project Plan to ensure specified completion dates are achieved and reporting requirements are met.
  • Providing advice to a range of internal and external stakeholders to progress work outcomes on behalf of the CEO and CCF Tasmania.
  • Supporting the CEO with internal and external communications across the organisation, including preparing draft correspondence, and strategic communications and assisting with the preparation of briefs and other documents.
  • Maintaining and applying sound knowledge of the organisations operating requirements, procedures, and guidelines to support the CEO and other stakeholders.
  • Working with our external PR agency and internal subject matter experts to develop media releases, newsletter content and member communications.
  • About you:

    You could be an experienced Executive Assistant, Senior Administrator or communications professional who has provided high-level administrative support to an Executive and be looking for a new role. This role will expand both your strategic and leadership skills and provide an opportunity to be mentored by the CEO for a future leadership role.

    With strong attention to detail, you will have the ability to produce high-quality written reports and board papers. You will have demonstrated experience in the drafting of correspondence, internal and external communications and other documents to a high standard.

    As a team player, collaboration and a positive attitude will come naturally to you. You will build strong relationships internally and externally and be confident in representing the CEO and the organisation when required.

    You have a passion for continuous improvement and display a high level of initiative and be able to operate flexibly and adapt quickly to a changing environment. You have the capacity to think strategically to make balanced, well-informed, operational, and administrative decisions.

    Full Time, Part time or flexible hours will be considered for the right candidate
