Job Description
Role
The Academic Administration Officer provides administrative support to the academic function – the preparation of reports, documentation and the coordination of administrative elements of faculty workloads and allocations each trimester.
Working closely with senior academic and operational leaders, we are looking for someone with outstanding attention to detail, strong stakeholder engagement skills, and the ability to provide high quality, accurate and professional documentation and data.
Responsibilities
- Author, or alternatively manage the outsourcing of the minutes for every documented meeting
- Maintain meticulous attention to detail to ensure the absence of typos in slides, factual errors in the minutes of meetings, and formatting inconsistencies in any official documentation
- Prepare reports, slide decks and other related collateral as required for stakeholders
- Provide assistance, administrative or otherwise, in regard to projects that may arise from time to time
- Collate the allocation of lecturers every trimester and the accurate calculation of their workloads
- Coordinate the process with relevant stakeholders for the renewal of trimester-based workload notification updates for faculty members employed on permanent contracts
- Liaise with Payroll to ensure the provision of prompt remuneration for permanent faculty members due to their excess marking obligations, teaching substitutions and related tasks
Requirements
- Bachelor-level qualification (essential)
- Previous experience in an administrative role (essential)
- Experience with minute-taking (essential)
- Proficiency in Microsoft Office, especially Excel
- Excellent reporting and written communication skills
- Excellent organisational, prioritisation and time management skills
- Ability to work independently
- Extremely high attention to detail
- Editing experience (desirable)
- Scheduling and timetable management experience (desirable)
- Data analysis skills and experience (desirable)
- Previous employment in an education environment
